Position Descriptions

Receptionist/Office Support

Entry-level clerical support and customer service position at fast-paced financial services firm.

Candidates must possess excellent customer service skills, organizational and multi-tasking skills, and strong verbal and written communication skills. The successful candidate will possess a positive attitude with the ability to work in a fast-paced multi-tasking environment with strong attention to detail, accuracy and professionalism.

This position is responsible for answering phone calls through a multi-company, multi-line, VoIP phone system, taking accurate detailed messages and directing the calls to the appropriate team member for handling. The successful candidate must be skilled at handling heavy call volume, with a strong emphasis on customer service. The position is also responsible for clerical support related in the administration of client accounts, including data entry to open, maintain, and close accounts on our trust accounting and CRM systems. The team member will also be responsible for scanning and saving transactional documents in a paperless office environment, setting up reminder and follow-up tasks, monitoring and processing email, U.S. mail, overnight delivery packages, secure upload files, and facsimile transmissions.

Position requires excellent client service skills and the ability to accurately and efficiently multi-task in a detail oriented fast paced paperless work environment. Proficiency in Microsoft Word, Excel and Outlook required. Bilingual English/Spanish a plus. Prior experience in any of the following areas; 1031 exchange, escrow services, title insurance, legal, tax, or real estate is helpful but not required.

1031 Exchange Assistant/Administrative Assistant (immediate openings)

Responsibilities include, but are not limited to, providing superior customer service support to the 1031 Exchange Administration Group, which includes answering and directing calls through a multi-line, multi-company telephone system, heavy client contact, heavy client relationship management (“CRM”) system input, handling and sorting daily mail, fax and email transmissions, responding to client inquiries via letter or email, mailing sales and marketing material as needed, proofreading correspondence, filing, ordering office supplies, answering basic 1031 exchange questions when able, and any other requests that may be asked of the person.

Bilingual candidate fluent in English and Spanish is a plus but not required. Experience in either 1031 exchange, real estate, escrow services, title insurance, tax, accounting or legal is a plus but is not required. Advanced computer skills are required with an emphasis in Microsoft Office 365. Candidates must possess excellent client service, organizational, interpersonal, verbal and written communication skills with a positive can-do attitude.

Business Development Officer (immediate openings)

Responsibilities include intensive client relationship management, strategic sales planning to identify, contact and build new client relationships, educational presentations and other speaking opportunities, and weekly travel.  Requirements include sales or marketing experience in one of the following fields: 1031 exchange, tax, legal, escrow services, title insurance or real estate.

Must possess excellent organizational, interpersonal, verbal and written communication, negotiation and presentation skills.  Superior client relationship-building and advisory and consultative sales skills, especially the ability to understand and communicate technical tax and legal subject matters, are an absolute must.

Business Development and Regional Manager positions are available throughout the United States and office location will depend on regional territory assigned.  We are actively looking for Business Development Officers for the Seattle, Washington; Los Angeles/Orange County, California; San Francisco, California and Tampa, Florida geographic markets.

Washington state law, RCW 19.310.040, requires an exchange facilitator to either maintain a fidelity bond in an amount of not less than one million dollars that protects clients against losses caused by criminal acts of the exchange facilitator, or to hold all client funds in a qualified escrow account or qualified trust that requires your consent for withdrawals. All exchange funds must be deposited in a separately identified account using your taxpayer identification number. You must receive written notification of how your exchange funds have been deposited. Your exchange facilitator is required to provide you with written directions of how to independently verify the deposit of the exchange funds. Exchange facilitation services are not regulated by any agency of the state of Washington or of the United States government. It is your responsibility to determine that your exchange funds will be held in a safe manner.
